New oversharing policies – Get ready for Microsoft Copilot 2024.3

Have you started thinking about rolling out Microsoft 365 Copilot to your organization? It improves productivity and helps unleash creativity, yet it is important to remember that it operates on the principle of retrieving all the information that a user explicitly has access to. This is why we’ve created a new set of policies which expands our security and governance toolkit to help you prevent oversharing and protect your digital environment.

We are presenting 3 new policies that once set up, can be used in our governance automation rules. Also you will see them as regular checks in the Security and Compliance Dashboard to stay aware of potential issues at any moment!

  • Workspaces with Too Many Members policy – detects workspaces that have a number of members that are over a defined threshold. Too many members in a workspace may lead to more difficult access control and unsafe data access, which can result in a security risk. The default Maximum Number of Members policy sets a limit of 50 members per workspace, but you can adjust this number.

  • Shadow Users policy – detects users who have access to specific documents/folders or other content, but are not members or owners of that workspace. You need to be cautious as it is best practice to share access within workspace members only, especially when a workspace is private and contains sensitive content.
  • Private Workspaces Shared with Everyone policy – detects sharing of private workspaces with large groups like “Everyone”, “Everyone except external users” and “All Users”. It can be applied to private Microsoft 365 Groups, Microsoft Teams, Sites. This situation is extremely delicate as it may lead to issues such as security breaches, administrative complexity and uncontrolled access. With this policy you can easily find those workspaces and prevent oversharing issues by removing access for these groups. Consider also setting up Syskit Point to send immediate alerts for any sharing activities with everyone groups or changes in privacy settings.

Once the policies are set up, you can use the Security and Compliance dashboard to see all vulnerabilities in one place and decide to accept risk or manage access easily. If you set up automated rules, Point will work in the background for you to solve these situations, e.g. it can send tasks to owners to handle possible issues immediately.

Users can easily grant excessive access in Micrososft 365 to their resources in the cloud leading to the oversharing situations that can be extremely risky. Educating your users is very important, and yet with Point you get the tools to prevent such situations and protect your data. Group access and sharing links reports are also something that you need to regularly check, and these policies will help you get everything under control.

Customize the look & feel: Custom branding and dark mode 2024.3

We have added new options to help you adjust the look and feel of Syskit Point. The first big thing is an option to customize Syskit Point with logos and colors so that it reflects your company’s brand and visual identity! Provide a unified experience and make all platform users feel at home once they log in.

Simply navigate to Settings – Click Appearance and upload the company logo to display it across the platform and choose your main color accents to adjust the final look.

Do you prefer darker colors on your screen? There is a new toggle option on the top of your screen, hit it and voila, welcome to the dark side! You can easily switch back to light mode. Try it out!

Integrations – Syskit Point API and webhooks 2024.3

We are aware that multiple apps are used to support various processes in any company, and Syskit Point is part of those processes. Making those apps work together and integrating them is important, as it enables you to connect those in a comprehensive workflow.

If you wish to integrate Syskit Point with your existing provisioning process, you can now integrate in two ways: Syskit Point API and Webhooks. Webhooks are messages that Syskit Point sends to other application when a specific event occurs. Other application can subscribe to an event, and when that event happens (e.g., Provisioning workspace started, completed, or failed), Point will send a notification to the subscribed applications.

Here are some of the examples for using webhooks:

  • After workspaces are created using Point provisioning, a 3rd party tool or script can be used to create default files and folders on the site.
  • After a site is created using Point provisioning, a 3rd party tool or script can be used to change the site design (colors, logo…)
  • After a site is created using Point provisioning, a ServiceNow ticket can be created/updated to notify users about the change.
  • After a team is created using Point provisioning, additional members or admins can be added to Teams.

New report: Workspaces with stale content 2024.3

We have created a new report called Workspaces with Stale Content which helps you detect and list out all Microsoft 365 workspaces with old and unused content. Stale content accumulates slowly, people upload everything and anything, never use it, or it simply becomes old. Part of your SharePoint storage management process should be understanding how many old files there are in your environment and where they are.
